AI and automation can help organise enquiries and remind the right person to follow up. They cannot guarantee that every enquiry is handled correctly.
Capture and organise
Forms or connected inboxes can create customer records. AI may suggest a category or prepare a summary; check for duplicates and missing details.
Set reminders and review
Create tasks for the right colleague and flag overdue items. AI can draft a reply, but a person can check it before sending. A lead score is a prediction, not a reliable measure of intent.
Keep a route to a person
Decide how unusual or urgent enquiries are handled and monitor missed or incorrect alerts. Follow privacy and marketing rules when storing details or sending follow-up.
Check the handover, not just the alert
Agree where an enquiry should appear, who owns the follow-up and how the team sees an overdue task. A summary can help a colleague understand the request, but the original message should remain available for checking.
Test an enquiry with missing contact details, an existing customer and a message that does not fit the usual categories. Check that someone can correct the record and that a failed connection does not leave the enquiry unseen.
