Using AI to organise sales enquiries

AI can help gather and organise information from sales enquiries. A person should still be able to review the result and decide what to do next.

Gather useful information

A form or chatbot can ask about a prospect’s needs, business and preferred contact details. AI may help summarise an email or a conversation. Ask only for information you need and explain how it will be used.

Sort and follow up

A system can suggest categories or priorities and notify a colleague, based on agreed criteria. Check the information and make sure a route exists for unusual or misclassified enquiries.

Be careful with scores

A score is an estimate based on the information and rules available; it does not reveal whether someone is ready to buy or eliminate bias. Review its impact and avoid treating it as the sole basis for a consequential decision.

Test whether it helps

Compare response times, missed enquiries and the quality of information with your existing process. Follow marketing and privacy requirements before sending messages or sharing personal information.

Make the next step clear

Choose a few questions that help a colleague understand the request, such as the problem, preferred contact method and relevant timing. A system can prepare a summary and suggest a follow-up task; the colleague checks the details and decides how to respond.

Try an incomplete form, an unusual request and an existing contact. Check for duplicates and make sure the enquiry remains visible if it cannot be categorised. Explain how contact information will be used and check the appropriate permissions before follow-up.
