Using AI to organise a busy inbox

AI inbox triage means using AI to suggest categories or priorities for incoming messages. The team still needs a way to check and correct those suggestions.

Sort and route

A system might identify supplier invoices, customer questions or urgent complaints and suggest who should see them. The result depends on the information and rules available.

Draft and review

AI may prepare a response using approved information. Check the facts, recipient and tone before sending, especially for sensitive or high-impact messages.

Handle mistakes

Urgent messages may be missed or misclassified. Test realistic examples, monitor errors, define an escalation route and protect access to personal or confidential emails.

Set up a review queue

Start with a small set of labels that match the team’s work and give each one a clear owner. For example, a suggested invoice can go to a finance review queue while an uncertain customer message stays visible to the inbox team.

Test messages with incomplete subjects, mixed topics and urgent requests. Record when a message is routed incorrectly or needs a person’s judgement, and make it easy to correct the label. Check permissions and provider terms before allowing any tool to read confidential email.
