Chalet Balthazar is a luxury apartment business in Villars, Switzerland, owned by David Anton-Smith. The business depends on a high-touch guest experience: direct enquiries, repeat customers, booking platforms, deposits, arrival instructions, WhatsApp support, local recommendations, checkout, reviews and rebooking.

The brief was simple in business terms and complex in practice: reduce repetitive booking admin without making the experience feel less personal.

The Challenge

Chalet Balthazar already had demand from several channels, including the website, Google Business, social media, direct email, Airbnb, VRBO and Booking.com. Around 70 percent of the business was direct, with a large share coming from repeat bookers.

That created a valuable but admin-heavy workflow. Every booking triggered a chain of tasks: booking forms, invoices, deposit receipts, balance reminders, check-in details, WhatsApp groups, Touchstay guide links, checkout instructions, deposit returns, review requests and rebooking follow-up.

The risk was not just lost time. It was missed details, scattered customer communication and the constant pressure of manually keeping platforms, payments and guest messages aligned.

The Booking Journey

A key product decision was to avoid forcing guests to pick an apartment before they knew what was actually available. Many guests know their dates and group size first, not the exact apartment they want.

The improved journey starts with dates and party size, then shows suitable available options. This makes the booking flow feel more natural for customers and reduces the chance of dead-end searches across four separate apartments.

Communication Tradeoffs

One of the important later decisions was email threading. Chalet Balthazar wanted branded emails, but also wanted a clean communication trail. The team explored three practical options: plain-text emails through the rental platform, branded emails with booking references, or a fully custom email-threading system.

The recommended approach was pragmatic: keep the branded customer-facing emails, add clear booking references to the subject line, and avoid building an expensive custom system unless the operational benefit clearly justified it.

The Outcome

The project turned a website brief into a more complete operating layer for Chalet Balthazar: booking, availability, payment, communication and post-stay follow-up working around one guest journey.

Instead of treating automation as a gimmick, the work focused on the moments where admin slows down a premium service business: checking availability, collecting payment, sending the right message, managing guest questions and asking for reviews at the right time.
